Make demand prep a defined process
When demands depend on one person’s memory, they wait on that person’s calendar.
The demand is where months of work become a number. It deserves a process, not a scramble.
Define what ready means
A case is ready for a demand when treatment has ended or reached a clear point, records and bills are complete, liens are identified, and the facts of liability are documented. Write that definition down and make it a checklist inside the case.
Give it an owner and a deadline
Once a case is ready, one person owns the draft and the clock starts. A target number of days from ready to sent keeps demands from aging in a queue.
Build in a quality check
- Names, dates, and claim numbers match the records.
- The medical chronology is complete and accurate.
- Bills and totals add up.
- Every statement is supported by the file.
- The response deadline is clear.
The quality check is not about distrust. It is how a firm makes every demand as strong as its best one.
