Five signs your Filevine setup has drifted
Case management systems rarely break. They drift, one workaround at a time, until the system no longer matches how the firm works.
Most firms set up Filevine with care. Then the team grows, processes change, and small workarounds pile up. None of them is a problem on its own. Together, they turn the system into a place where information goes to be lost.
1. Your phases no longer match reality
If cases regularly skip phases, or sit in a phase that no longer describes what is happening, your reports are describing a firm that does not exist.
2. Tasks exist without owners
A task assigned to no one, or to someone who has left, is a task that will not get done. Every recurring task should belong to a role.
3. Important fields are always blank
If a field matters, such as policy limits or treatment status, it should be required at the right phase. Optional fields fill up only when someone remembers.
4. There are three templates for everything
Duplicate document and task templates are a sign that the team built around the system instead of with it. Pick the best one and retire the rest.
5. Nobody trusts the reports
When people keep their own spreadsheets, the system has stopped being the source of truth. That is the clearest sign it is time to rebuild around how the firm actually works.
A system the team trusts is worth more than a system with every feature turned on
